Say the job. The invoice writes itself.

This template is yours to use, no account needed. When you are done typing line items into a form, Voice To Task CRM does the same job from a 20-second recording: you say the parts, the hours and the customer, and the app drafts the invoice with your tax rate and your hourly rate already applied. Create a free account and get the app on the App Store or Google Play. The first 5 voice logs cost nothing.

For example, you say

“Swapped the 40-gallon gas water heater for Dana Reyes, 1,150 for the unit, 65 for the flex lines and the pan, three hours labor, and 50 to haul the old one.”

What to put on it

What goes on a plumbing invoice.

  1. Your business and license number Your company name, address, phone and email at the top, and your plumbing license number. Many states require the number on every invoice and bid (California does for all contractors under Business and Professions Code §7030.5); check your own state plumbing board.
  2. Bill-to and the job address Who pays and where the work was done, when they differ (a landlord paying for a tenant’s unit, a property manager). The job address is what the customer’s insurer or home-warranty company asks for first.
  3. Parts and labor on separate lines Fixtures, pipe, valves and fittings each on their own line with a quantity and a unit price; labor as hours at your rate or as a flat job price. Separate lines matter because in many states materials are subject to sales tax and labor is not, and a customer disputes a lump sum more often than an itemized one.
  4. Tax, total and the due date Name the tax (sales tax, VAT, GST), show the rate, and only apply it to the taxable lines. Put the due date in writing: net 14 is common for residential service work, and a due date on the invoice is what lets you charge late fees later.
  5. What you found and what you recommend A sentence on what was wrong and what you did, and a line for anything you noticed (a corroded shutoff, a heater near the end of its life). It is the part of the invoice customers keep and show the next plumber.

Licensing and deposit rules named above are the California Contractors State License Board’s (Business and Professions Code §7030.5, §7048, §7159.5); other states differ. Sales-tax treatment of labor and materials is set by each state’s department of revenue. None of this is legal or tax advice; check your own state board and your accountant.

Is labor taxable on a plumbing invoice?

It depends on your state. Many states tax the parts you sell and not the labor to install them; some tax repair labor too, and new construction often follows different rules. The template lets you tick taxable per line so the tax applies only where your state says it does. Ask your state department of revenue or your accountant.

Should I put my license number on the invoice?

Yes if your state requires it, and it is good practice everywhere. California requires the license number on all contracts, bids and advertising; several other states require it on invoices. The template has a field for it.

How do I number plumbing invoices?

Use one series and never reuse a number. The template suggests a date-based number (INV-YYMMDD-01) so a new business has a sensible first invoice; change it to your own series if you already have one.

Can I use this plumbing invoice template for free?

Yes. Fill it in, download the PDF or print it, as many times as you like. There is no signup and nothing you type leaves your browser. The template is made by the team behind Voice To Task CRM, a voice invoicing app for plumbers, which is a separate thing you can try or not.
