Free landscaping invoice template
Landscaping invoice template for maintenance and install work.
Monthly mowing, a spring cleanup, six yards of mulch, a dozen shrubs and the crew’s hours each get their own line. The template totals materials and labor separately, taxes only what you mark taxable, and gives you a PDF to send the same afternoon.

Say the job. The invoice writes itself.
This template is yours to use, no account needed. When you are done typing line items into a form, Voice To Task CRM does the same job from a 20-second recording: you say the parts, the hours and the customer, and the app drafts the invoice with your tax rate and your hourly rate already applied. Create a free account and get the app on the App Store or Google Play. The first 5 voice logs cost nothing.
“Spring cleanup at the Hendricks place. Six yards of hardwood mulch at 42, eight boxwoods at 28, crew of two for five hours at 55 an hour each, and a 60 debris fee.”
What to put on it
What goes on a landscaping invoice.
- Materials by the yard, the bag or the plant Mulch, soil and stone by the cubic yard; seed, fertilizer and pavers by the bag or the unit; plants by count and container size. A quantity and a unit price on each line is what makes the total believable.
- Labor as crew-hours or per visit Install work usually bills person-hours; maintenance bills per visit or per month. Keep labor on its own lines: in many states the plants and materials you resell are taxable and the labor to install them is not, and lawn maintenance services are taxable in some states and not others.
- Recurring service, dated For a monthly customer, list each visit with its date (“Mowing and edging, Apr 3”) rather than one “April service” line. It settles the “you skipped a week” call.
- Disposal, delivery and equipment Debris haul-away, dump fees, delivery of bulk material and rented equipment (a sod cutter, an aerator) each on their own line. They are real costs and customers accept them when they can see them.
- Plant warranty and care notes If you warranty plants, state the terms in the notes, and add a line of watering instructions. It cuts replacement calls and it reads as professional.
Licensing and deposit rules named above are the California Contractors State License Board’s (Business and Professions Code §7030.5, §7048, §7159.5); other states differ. Sales-tax treatment of labor and materials is set by each state’s department of revenue. None of this is legal or tax advice; check your own state board and your accountant.

Is landscaping work taxable?
It varies more than most trades. The plants and materials you resell are taxable in most states; installation labor often is not; and some states tax lawn maintenance and snow removal as taxable services. Mark each line taxable or not in the template and confirm with your state department of revenue.
How do I bill mulch and soil?
By the cubic yard, delivered and spread, with a quantity and a unit price. The template multiplies the two per line and rounds each line to the cent.
How should a monthly mowing invoice look?
One line per visit with the date, so the customer can match it to their calendar. The template lets you add as many lines as you need and totals them.
Is this landscaping invoice template free?
